For three years SFB’s struggled to maximise the efficiency of their business with their existing document management system, SingleView. Peter White, partner at SFB, said: “We went with SingleView in July 2007, hoping that their document management system would help us go paperless easily; but we found that it complicated our office system, it didn’t integrate well with Iris and was hard to locate documents”. He continued to state that the only benefit of the system was that “it did the job but wasn’t efficient for the process”.

SFB’s decision to migrate from SingleView to Virtual Cabinet was made in August 2010 because Mr White felt SingleView was “coming to the end of its life” as a supplier, and thought “the software was inefficient to suit our office needs”. Virtual Cabinet has been said to “solve the two issues we had with our existing system and has an effortless feel to the software”. One of his main requirements for a document management system was easy integration with his back-office Iris, which Virtual Cabinet provided. The cost aspect was another major concern for SFB: “We found that Virtual Cabinet was better value for money in contrast with other suppliers with regard to functionality and efficiency”.

Virtual Cabinet is a simple and affordable document management system that has been developed at Lindenhouse. Virtual Cabinet will scan, index and search for your documents in a secure store and includes features such as audited user access and full version control of documents. Presently SFB have 40 staff utilizing Virtual Cabinet and CcMail.

Peter White, has confirmed that The Lindenhouse Document Management system “integrates very well with Iris – it is therefore very easy to get documentation into Virtual Cabinet… with minimum disruption to the office”. He continues to state: Virtual Cabinet is “very flexible - enabling it to be set up in a way that mirrors your business and its processes. This makes it easy to store and find information as well as logical for the users to learn how to use it.”

The company were “particularly impressed by the skill and professionalism of the Lindenhouse staff who installed the Virtual Cabinet system and migrated the data from our existing system”.
